Executive Assistant to Senior Management Team

£28,000-£30,000 (London based office) Permanent

The Centre for Young Lives is a growing innovative, independent think tank and delivery unit dedicated exclusively to improving the lives of children, young people, and families in the UK. 

This is a fantastic opportunity for an organised and energetic individual to join the Centre’s dynamic and experienced team. 

The Executive Assistant plays a critical role in the efficient operation of a fast-paced, growing think tank and delivery unit. As the primary support to the Executive Chair, Trustee Board and senior leadership team, this position ensures that the organisation’s day-to-day activities run smoothly, allowing senior leaders to focus on strategic goals. Additionally, this role will assist in building organisational systems, managing key relationships, and contributing to the development and execution of projects that advance the Centre’s nonprofit’s mission. With an entrepreneurial spirit, attention to detail, and a proactive approach, the Executive Assistant will play a central role in the development and expansion of the Centre.

Key Responsibilities include:

  • Executive Support & Diary Management: Efficiently manage the diary of the Executive Chair, ensuring smooth scheduling, prioritisation of commitments, and forward planning of tasks. Arrange travel, accommodation, and catering for senior leadership as needed.
  • Board of Trustees Support & Charity Governance: Provide comprehensive administrative support to the Board, including scheduling meetings, preparing board packs, minute-taking, and ensuring the accurate dissemination of information. 
  • Finance & Contract Administration: Raise invoices, track payments, and ensure timely follow-up on outstanding payments. Liaise with finance teams and external partners to ensure the smooth management of financial processes. Manage a contracts tracker to ensure all contracts are current and support the due diligence process.
  • HR Administration Support: Assist with HR-related tasks, including recruitment administration, on-boarding processes, and maintaining employee records.
  • Stakeholder & Relationship Management: Develop and maintain strong, trusted relationships with internal and external stakeholders. Act as the first point of contact for inquiries, ensuring clear communication and resolution of issues.
  • Confidentiality & Discretion: Handle sensitive information with the utmost discretion and confidentiality, ensuring all administrative processes are executed with integrity.
